Somebody gets engaged and somebody else, usually the closest friend, inherits the job of organising the send off. It arrives without instructions and with a surprising amount of pressure attached.

Here is what actually matters, telegra.ph in order.

The person it is for. This should be obvious and it is routinely forgotten. The organiser plans the evening they would enjoy, or the evening they think the group expects, rather than the one the person being celebrated would choose. If the groom hates being the centre of attention, an evening built around making him the centre of attention is a gift to nobody. Ask, or ask someone who knows, and plan accordingly.

The budget conversation, held early and directly. This is the single most common source of friction. Groups contain people with very different financial situations, and a plan that assumes everyone can spend the same amount excludes someone quietly. Set a figure early, state it clearly, and give people a way to opt out of the expensive components without opting out of the evening. Nobody should be choosing between their rent and their friend’s party.

Timing relative to the wedding. Not the night before. This is a rule learned the hard way by a great many people. Two to four weeks out is the sweet spot: far enough for recovery, close enough to feel connected to the occasion.

Duration. A weekend away is the default now and it is often too much. Three days with a group of ten people costs a fortune, requires coordinating everyone’s calendar, and puts strain on friendships that a good evening would not. One well planned night frequently produces better memories than a long weekend that exhausted everyone.

The shape of the evening. This is where most planning goes wrong. The typical plan is a sequence of venues with no structure, and by the third one the group has fragmented, two people have gone home and nobody is enjoying themselves. A better shape has an anchor: one thing that happens at a set time that everyone is present for, with loose time either side of it. That anchor can be dinner, an activity, a performance, anything. Its function is to hold the group together at least once.

Numbers. Above about twelve, movement becomes impossible. You cannot get twelve people into a taxi, a restaurant at short notice, or a queue without losing two of them. If the list is longer than that, plan a single location rather than a tour.

A few practical items.

Someone sober, or at least sensible, holding the plan and the money. Rotating this responsibility does not work.

Reservations, not hope. Groups are turned away from places that would happily have seated them with a phone call that morning.

A clear ending. Open ended nights with a large group end badly, usually with three people in a taxi arguing about where everyone else went.

Photographs, but with an agreement about what gets shared. This is worth a thirty second conversation at the start and prevents a much longer one later.

And the thing worth remembering through all of it: the point is that a group of people who care about someone spent an evening together before a big change in that person’s life. That is the whole content. Everything else is arrangement, and the arrangement matters much less than people organising it believe.
